Administrative Assistant I or II
Description The Public Works Department is recruiting for an Administrative Assistant I or II to perform a full range of administrative support duties to the Public Works Department which includes the research of specialized topics, customer service, scheduling meetings, preparation of reports, assisting the department with compliance of the City’s Record Retention and Destruction Policy, and organization of departmental project files and legal documents, and provide wide-ranging administrative support functions department-wide. The level at which an individual is hired will be dependent on their qualifications and relevant experience to the position. The ideal candidate will be independent, highly motivated, organized, have a positive attitude and will be an effective team player who is able to multi-task in a fast-paced work environment.
Duties Performs routine and complex tasks and duties by providing office, clerical and administrative support to management staff and other staff in one or more departments as needed; plans, organizes and carries out administrative assignments; researches, compiles and organizes a variety of information from various sources on specialized topics related to programs in assigned areas; assists in a variety of department operations; applies special knowledge in reviewing and determining completeness of applications, permits, records and files; types or drafts a wide variety of finished documents from verbal and brief written instructions; compiles and maintains records and prepares reports; assists in the preparation of agenda materials, drafts reports, resolutions and ordinances; inputs and retrieves information from various computer data management systems such as financial and/or budget systems; maintains a variety of files and records; assists the Department with proper compliance of the City’s Record Retention and Destruction Policy; initiates and maintains a variety of files and records; ensures proper filing of documents in departmental or central files; and proper organization of electronic documents. Answers phone and greets customers at the front counter; responds to questions and concerns from the general public; provides information as is appropriate and responds to complaints; establishes positive working relationships with representatives of community organizations, state/local agencies and associations, City management and staff, and the public.
Experience Administrative Assistant I: Two years of significant, directly related and progressive clerical experience related to municipal government and a high school diploma or equivalent is desired. Administrative Assistant II: Two years of experience equivalent to that of an Administrative Assistant I with the City of Lathrop, and a high school diploma or equivalent.
Compensation $46,673 to $62,621 Annually
